Facilities Manager

JOB PURPOSE
The Facilities Manager is responsible for overseeing the multi-site management, maintenance, and operational efficiency of all AIS campuses. This role ensures that school buildings, grounds, and infrastructure are safe, functional, and well-maintained while supporting a positive learning and working environment. The Facilities Manager will lead a team of maintenance personnel, oversee vendor contracts, manage compliance with safety regulations, and coordinate facility-related operations to support school activities and long-term campus planning.

RESPONSIBILITIES
1. Facilities Maintenance & Campus Management
- Oversee the multi-site general upkeep and functionality of all buildings, classrooms, common areas, and outdoor spaces across all AIS campuses.
- Ensure timely completion of maintenance work orders, prioritizing safety, functionality, and operational efficiency.
- Implement preventative maintenance programs for building structures, plumbing, electrical systems, mechanical equipment, and grounds.
- Conduct routine facility inspections, identifying wear and tear, damage, and areas requiring improvement or repair.
2. Safety, Compliance & Risk Management
- Ensure compliance with local, state, and federal regulations related to building codes, environmental health, and workplace safety across multi-site environments.
- Maintain fire safety systems, and emergency lighting, ensuring proper functionality and adherence to safety codes.
- Identify and address potential safety hazards in buildings, walkways, playgrounds, and other school areas.
- Develop and oversee safety protocols for facility operations, including hazardous materials handling, emergency shutdown procedures, and disaster preparedness plans.
- Train staff in safety procedures, proper equipment handling, and emergency response.
3. Team Supervision & Leadership
- Supervise and lead a multi-site facilities and maintenance team, assigning work orders, setting performance goals, and ensuring high-quality service delivery.
- Provide training and mentorship to team members, promoting skill development and best practices in facility maintenance.
- Conduct performance evaluations and implement professional development opportunities for facilities staff.
- Ensure effective team coordination across multiple campuses, optimizing staffing for peak operational needs.
4. Vendor & Contractor Management
- Oversee contracts with external vendors, contractors, and service providers, for multiple campuses, ensuring quality service and compliance with school needs.
- Manage pest control, janitorial services, waste management, HVAC servicing, and specialized facility maintenance contracts.
- Obtain competitive bids for projects, review vendor proposals, and negotiate cost-effective agreements.
- Conduct performance evaluations of contractors and vendors, ensuring adherence to service-level agreements (SLAs).
5. Operational Support & Event Logistics
- Coordinate facility operations and logistics to support daily school activities, special events, and extracurricular programs across multiple locations.
- Ensure seamless coordination between maintenance, security, and administrative teams to meet operational needs.
6. Long-Term Facilities Planning & Sustainability Initiatives
- Develop and implement long-term facility improvement plans, including renovations, expansions, and campus upgrades in a multi-site environment.
- Identify opportunities for energy efficiency improvements, sustainability projects, and cost-saving measures.
- Implement water conservation and waste reduction strategies to align with AIS's environmental sustainability goals.
- Collaborate with school leadership on strategic campus planning, ensuring alignment with future growth and infrastructure needs.
7. Technology & Systems Integration
- Utilize facility management software to track maintenance schedules, log service requests, and monitor work order completion.
- Maintain detailed records of inspections, repairs, equipment maintenance, and compliance documentation.
- Work with the IT department to improve facility-related technology systems, such as building automation systems.
- Ensure all campus utility systems (water, electrical, mechanical, and communications) are operational, well-maintained, and optimized for efficiency.
Required Qualifications
- Minimum of 5 years of experience in facilities management, operations, or a related field, preferably in an educational or multi-campus setting.
- Strong leadership and team management skills, with experience supervising multi-functional facilities teams.
- Knowledge of building systems, general maintenance, custodial services, and infrastructure management.
- Experience in budget development, expense tracking, and resource allocation.
- Ability to negotiate contracts, manage vendor relationships, and oversee service agreements.
- Familiarity with regulatory requirements, building codes, and workplace safety standards.
- Strong problem-solving, communication, and organizational skills.
- Proficiency in facility management software and Microsoft Office Suite (Word, Excel).
- Valid driver’s license and ability to travel between all AIS campuses.
Preferred Qualifications
- Experience in school or university facility operations.
- Certifications in facilities management, building maintenance, or project management.
- Knowledge of sustainable building practices and energy efficiency strategies.
- Familiarity with emergency preparedness planning and risk mitigation.

Physical Requirements
- Ability to stand, walk, and move around campus for extended periods.
- Capability to lift and carry up to 50 lbs. as needed.
- Physical stamina to perform facilities maintenance tasks and respond to emergencies.
- Ability to work in outdoor conditions and different weather environments when necessary.

- Flexibility required: May include early mornings, nights, weekends, and emergency response shifts.
